BPC-Project Summary

·   Client is the largest manufacturer and producer of Nuclear Power in the world. They have a vast amount of Divisions, excelling and specializing in their own Business Areas. SAP –ECC 6 data is fed into a BPC NW75 system which is used for Budgeting, Forecasting & Consolidations. B&W was facing several pain points out of which 9 were identified as most critical. Initial phase was to identify these pain points and do gap analysis. Then provide recommendation and solutions to these issues. Scope was restricted to 2 divisions – NE & TSG. High level meetings were conducted with super users, IT defining & mapping the Business Process for these two divisions. Scope of work in Phase 1 was:

·   Conducted PP-Project Preparation with B&W NE.Div Super Users, PM, CFO, IT & Finance team of 10+ members of the Steering Committee which identified a high level ‘Business Processes', 9-Pain points discussion with problems in HR templates, Data overflow & inaccuracy issues, Templates & Scripts Logic problems, Data flow, DM packages issues, Wishes and Wants for the Nuclear Energy Division. 

·   Organized 35+ Charts & Posters from the above steering committee initial meeting.

·   BB - Business Blueprinting: Reviewed Documents supplied by B&W, Reference & Admin Manuals, Guidance and Prioritization received from IT pointing to Script Logic issues between the two divisions.

·   Realization: Checked DIM's, (ACCOUNT, COMP_CODE, COST_CENTER, EMPLOYEE) Hierarchy, Script Logic. Found several problems in Script Logic that was pointing to

Separate Divisions. Validating Accounts Balances, found Script Logic was posting to TSG Accounts instead of NE. Templates were Hard Coded for HR-Div. but found in BUDGET App. Intermingling of data was found with severe repercussions to both divisions.

Title: SAP BPC – Principal Consultant

Industry: Manufacturing / Aluminum Alloys / Oil&Gas

 

BPC-Project Summary

·   Performed a detail study of SAP-BPC implementation in record time. 

·   Identified “Problem Statements”: BPC Users of the system were facing excessive delays in accessing certain input schedules and reports, primarily in the Material Management (MM) and Customers (SD) Business Areas.

·                  Acceptance level of Users was at an all-time low.

·                  Lack of documentation and training was also of concern.

·                  Some Basic functionality of BPC for instance Trending, BPF’s, Work Status and PARK N GO, were never explained.

·            Reports & IS had been “Hard Coded” into the system so it over writes the CV-Current View. This creates some concerns if users are looking at the right report for that period.

·            Complex Reports and Input Schedules (Some with 8-14 dependent worksheets), each designed with 3-5 embedded EVDRE-functions were found in some of these problem workbooks. This deadly combination of (embedded multiple EVDRE’s combined with complex excel calculations) in each workbook  - calls between 35-50 EVDRE functions in addition to making 100+ calculations to update or even refresh the data from the server.

·            Lack of optimizing on a regular basis is causing an excessive amount of temporary records that are residing in the “tmpFAC2”, “tmpWB”, “tmpFACT” tables. These records are marked for deletion but are still residing in the back end databases resulting in large indexes impacting performance and sometimes data loss due to an index not found error.

·   The scope of this study was to determine the root of the problem, recommendations and enhancement to the BPC environment, and possibly some service and support.

·   Recommendations were presented to the COO,CFO,CIO, Finance,MM,SD &IT Depts. SOW was presented and signed off by the PM and Steering Committee.

·   Scope of work included checking ALL Dimensions (Acccount.DIM alone had 2600+ line items with a 2-3 tier BPC Hierarchy), Configurations, time testing of reports and Input Schedules. BPC Hierarchies were checked for consistencies.  Test reports were made to check the values in “Hard Coded” reports versus dynamic CV reports for accuracy. Documentation and Training manuals were made and delivered.

·   ASAP methodology was followed bringing clients BPC implementation back into compliance with SAP rules.

·   Re-Designed and configured complex reports to solve the main issue. Report from MM/SD departments that were formerly taking 2-5 minutes to load/refresh now took only 30-40 seconds.

·   Added the “Reviewer” and “Owner” fields to required DIM’s in BPC-Admin for BPF and Work Status installation.

·   Configured and installed four Business Process Flows (BPF’s) to streamline work flow from MM / SD / Finance which enabled user confidence and acceptance to BPC.

·   Security was configured in BPC-Admin. Added Teams and member access to BPF’s.

·   Configured Member Access Profile’s in BPC Security.

·   BPC enhancements were implemented such as “Park N Go” for Finance /MM/ SD depts.

·   Users were trained on BPC features of Trending, Weighting and Spreading - increasing efficiency of the Forecast & Budgeting process throughout all departments.

·   Development & UAT was performed on the DEV server since client had a 2 tier SAP BPC MS 7.5 installation. DEV & Q&A were performed on the 1st tier.

·   PRD server was taken off line on Friday at 6:00pm (after hours). New enhancements were transported from DEV to PRD. Validation & Testing were done in record time and the PRD Server was put back on line at 11:59pm – creating transparency, minimizing risk with zero issues.

·   Client became a reference site for future Business.

·   The S-11 “Inventory Reports” involved 7382 unique SKU# belonging to 7 Brands (Stride Rite, Keds, Saucony,  Jessica Simpsons,  Robeez, Sperry-Top-Sider etc.)  Distributed throughout 14600 stores including their extensive Sales Distributional Channels covering Sales, Orders, Plan & Forecast from Nordstrom’s, Dillard’s, ATHL_SPTG, Footware_Stores, ECOMM, Canada etc.)

·   Data Input was achieved by custom designing INPUT SCHEDULES for each of the Channel members above. The reports show an exact data match with the Clients Data was achieved.

·   The Controlling report “SRCG” reports were achieved by using the Account DIM, DIM Logic including Formula logic. These included BOH Units (Beginning On-hand Units Actual/Forecast), Total Receipts, Returns, Adjustments, including complex ratio calculations like LY%(line yearly), TY%(total yearly) etc. Once again we were successful in showing the client that their exact data was represented in our BPC Application.

·   Developed custom BPF’s – Business Process Flows one for the “S-11” Inventory Planning and Forecast and separate one for the “SRCG” controlling departments complete with work status involving a managers authorization to Accept, Reject the work performed.

·   The CB_PLZ Application had an added feature of “Currency Conversion” which was configured using Business Rules and converted the data from LC (Local Currency – also the Reporting currency, to EUR & USD).

·   Used Data Manager to import files including Currency Conversion master rate data and maintained rates in the Rate DIM.

·   Data Manager was also used to copy Master & Transactional Data from year to year for comparison purposes.

·   DIM Locks were used to control and simplify user activity in ALL reports.

·   Reports and Custom Input schedules were tested, optimized for each of the three custom Applications.

·   Finally a new clean application CBD was designed keeping in mind the Entity & Account  DIM members for consolidation purposes (down the road) resulting in a more effective business structure which was represented in the Product, Channel, Division DIM of CBD-App.
